How it works

A compliant handbook in four steps

Bring an existing handbook or start from nothing. Regulyn takes you through the same four steps either way.

  1. 1

    Add policies

  2. 2

    Regulyn checks them

  3. 3

    Fix the issues

  4. 4

    Publish and export

The big picture

The Regulyn compliance cycle

Audit what you have, prioritise what matters, fix what is wrong, and stay compliant as the law changes.

01

Audit

Upload your existing handbook or start fresh. Regulyn takes in your policies and prepares them for analysis.

02

Prioritise

Every policy is checked against UK employment law. Issues are ranked by severity so you know what to fix first.

03

Fix

One click produces a compliant redraft. Review the changes, approve what you like, and move on.

04

Publish

Export the handbook. Publish the handbook chatbot. Generate HR documents from it.

Then stay compliant. Regulyn monitors UK employment law for changes. When something affects your handbook you will know, and you will have the tools to fix it.

Step one

Start with your handbook

Bring your existing handbook or start completely fresh. Regulyn works from either.

"I have an existing handbook"
Paste your policies directly into Regulyn. Copy from Word, PDF, or wherever they live. Each policy becomes a section Regulyn can analyse.
"I am starting from scratch"
Use gap analysis to see which policies you need. Generate compliant policies from our 50+ predefined types. Build as you go.

Most customers paste their existing policies first, fix the compliance issues, then use gap analysis to find what is missing.

Watch: adding a policy from the catalogue, generating it, and saving it to the handbook. 75 seconds.
Watch: a pasted remote working agreement analysed, re-drafted and saved. 69 seconds.

Step two

Regulyn checks every policy

The moment you save a policy, Regulyn checks it against 59 UK legislation and guidance sources. Every issue is identified, categorised and explained.

What it checks against

  • ERA 1996
  • ERA 2025
  • Equality Act 2010
  • Working Time Regulations
  • Acas Codes
  • Health and Safety
  • GDPR and DPA
  • Maternity and paternity

Issues ranked by severity

Critical
Legal requirement missing or breached
High
Significant risk, should be addressed soon
Medium and low
Best practice improvements
Enhancement
Optional improvements for clarity

Step three

Fix issues with one click

You do not have to rewrite policies yourself. Click "Redraft" and Regulyn produces a compliant version that fixes every issue it found. You review and approve.

  1. 1

    Regulyn drafts a replacement

The new version addresses every compliance issue while keeping the intent and structure of your policy. Legal citations are included.
  2. 2

    See what changed

Every change is highlighted with an explanation of why it was made, so you understand each edit.
  3. 3

    Review and approve

Accept the redraft, make manual edits, or reject it and try again with different settings.
  4. 4

    Save to your handbook

Approve the redraft and it becomes part of your handbook. Version history records what changed and when.

Your voice, your style. Set up a tone profile to control how Regulyn writes: formality, voice (authoritative or supportive), and how it refers to your company.

Review redraft: the original and the redrafted policy side by side, after the assurance checks have run.

Published Handbook view showing the latest version, Word and PDF downloads, and policy groups including Introduction, Employment Terms, Leave & Time Off and Problems at Work

Published handbook: version 1 with Word and PDF export and policies grouped by lifecycle.

Step four

Generate, export, publish

Your handbook is compliant. Now put it to work. Export it, publish the handbook chatbot, and generate HR documents on demand.

Export your handbook
Generate a numbered, formatted handbook with a table of contents. Download it as Microsoft Word or PDF.
Publish the chatbot
Let employees ask questions about policies. Answers come from your actual handbook, with source citations.
Generate HR documents
Settlement agreements, disciplinary letters and 40+ other document types, each referencing your handbook policies.
Share with employees
The published handbook view gives employees a searchable, read-only copy of your latest version. Or export it and distribute as Word or PDF.

Ongoing

Stay compliant as the law changes

Compliance is not a one-off project. Regulyn monitors UK employment law and alerts you when a change affects your handbook.

01

Legal change alerts

Regulyn tracks the UK Legislation API for changes to the ERA, the Equality Act, the Working Time Regulations and more. When something changes, you will know which policies are affected.

02

Gap analysis as you grow

Adding employees? Changing benefits? Gap analysis shows which new policies you might need. Generate them with the same tools you used to build the handbook.

03

Continuous protection

Every HR document you generate is checked against your current handbook. The chatbot always uses your latest policies, so nobody is working from outdated content.

ERA 2025 is here. Is your handbook ready?

The Employment Rights Act 2025 received Royal Assent in December 2025. Its provisions are rolling out in stages through 2026 and 2027. Day-one sick pay and family leave are already in force, with the harassment duties, the six-month unfair dismissal rule and fire-and-rehire restrictions still to land. Regulyn is already updated and will help you bring your handbook in line.

Scenarios

Where are you starting from?

Different situations, the same approach. This is how Regulyn fits the three most common ones.

"I have an existing handbook"

Typical time: 2 to 4 hours
  1. Paste each policy into Regulyn
  2. Review the compliance analysis for each
  3. Redraft and approve the critical and high issues
  4. Use gap analysis to find missing policies
  5. Export your updated handbook

Tip: Start with your most important policies: disciplinary, grievance and leave. You can add the others over time.

"I am starting from scratch"

Typical time: 4 to 6 hours
  1. Run gap analysis to see the required policies
  2. Generate policies from the 50+ types
  3. Review and customise each one
  4. Add company-specific details
  5. Export your new handbook

Tip: Do the "Required" policies first. Regulyn tells you which ones are legally mandated.

"I need to update for ERA 2025"

Typical time: 1 to 2 hours
  1. Import your existing handbook
  2. Run a bulk compliance check
  3. Filter for ERA 2025 issues
  4. Redraft the affected policies
  5. Export the updated handbook

Tip: Use the compliance filter to see only ERA 2025 issues. Day-one sick pay and family leave are already in force; the harassment duty and the six-month unfair dismissal rule come next.

Questions

Common questions

How long does it take to get my handbook compliant?
It depends on your starting point. If you have an existing handbook with 20 to 30 policies, expect 2 to 4 hours to import, analyse and fix the critical issues. Starting from scratch takes longer (4 to 6 hours for a basic handbook), but Regulyn does the heavy lifting of generating compliant content.
Do I need HR or legal expertise to use Regulyn?
No. Regulyn is designed for business owners, HR generalists and anyone responsible for compliance, not only HR specialists. It explains issues in plain English, generates compliant content for you, and includes legal citations so you can verify them. For complex situations we still recommend consulting a professional.
What if I disagree with the suggestion?
You are always in control. Every redraft is a suggestion. You can accept it, reject it, or edit the text yourself. Regulyn shows you exactly what changed and why, so you can make an informed decision, and it never overrides your edits.
How accurate is the compliance analysis?
The analysis cross-references 59 legislation and guidance sources, including ERA 1996, ERA 2025, the Equality Act 2010 and the Acas Codes of Practice. It identifies and explains each issue with legal citations so you can check the reasoning yourself. Employment law can be nuanced, so for critical decisions we recommend professional review.
Can I import my existing Word document?
Currently you paste policy content directly into Regulyn. This works well because you review each policy as you add it. Bulk Word import is planned for a future release. For now, most customers copy and paste policies one at a time, which typically takes 10 to 15 minutes for a full handbook.
What happens to my data?
Your handbook data is encrypted in transit and at rest, with primary service data hosted within the UK or EEA where practicable. Technical and organisational controls are designed to support UK GDPR obligations, and your content is not used to train general-purpose AI models. You retain ownership, can export your content, and can request deletion through support.
How does the handbook chatbot work?
The chatbot uses your published handbook as its knowledge base. When an employee asks a question, it answers from the relevant sections of your published handbook, with source citations. It is designed for general policy questions. For specific situations it directs employees to speak with HR.
Can multiple people work on the same handbook?
Today each Regulyn organisation is managed by a single owner account, so one person maintains the handbook. Every change is captured in full version history with timestamps, giving you a complete audit trail. Multi-user access with role-based permissions is on our roadmap. Get in touch if shared team access matters for your rollout.
