GuidesGetting started
Create your first handbook
Build a legally compliant employee handbook in five steps. Allow 5 to 10 minutes.
What you will learn
- Understand the gap analysis dashboard
- Create new policies with Policy Studio
- Analyse and improve existing policies
- Organise policies into groups
- Add header and footer sections
- Generate a publishable version
1Review your gap analysis
Start on the Gap Analysis page in the app. It lists every policy type you need, organised by priority:
- Core policies
- Legally required under UK employment law. Complete these first.
- Recommended
- Strongly advised for a complete handbook and best practice compliance.
- Optional
- Useful depending on your company's needs.
2Create your policies
There are two ways to create a policy, depending on whether you are starting from scratch or have existing content.
Option A: draft a new policy
Best when you do not have an existing policy. Click Draft in Gap Analysis or open Policy Studio.
- Select the policy type you want to create
- Add any company-specific requirements (optional)
- Regulyn generates a complete, legally compliant policy
- Review, edit if needed, and save to your handbook
Option B: paste and analyse an existing policy
Best when you have an existing policy you want to check and improve. Click Paste or open the Section Analyser.
- Paste your existing policy content
- Regulyn analyses it against UK employment law
- See issues flagged by severity (Critical, High, Medium, Low)
- Click "Generate Re-draft" to fix all issues automatically
- Review the change log, edit if needed, and save
3Organise into groups
Once you have some policies, organise them into logical groups for better readability. Open Groups to manage your handbook structure.
Example group structure
- 1. Introduction and overview
- Welcome, company values
- 2. Employment basics
- Contracts, probation, notice periods
- 3. Leave and time off
- Annual leave, sick leave, parental leave
- 4. Conduct and performance
- Disciplinary, grievance, performance
- 5. Health and wellbeing
- Health and safety, mental health, flexible working
4Add a header and footer
Open the Handbook page to add opening and closing sections.
- Header (introduction)
- Typically a welcome message from leadership, the company mission and values, the purpose of the handbook, and how to use it.
- Footer (closing)
- Typically an acknowledgement statement, HR contact information, the version number and date, and the next review date.
5Generate your version
When you are happy with your policies, header and footer, click "Generate Version" on the Handbook page to create a publishable snapshot.
What happens when you generate
- Creates a numbered version (v1, v2, v3 and so on)
- Locks that version for reference
- Lets you download it as Microsoft Word or PDF for distribution
- Unlocks the Handbook Chatbot so employees can ask policy questions
